Trash, restore, and unused media

Introduction

Deleting a file from the Media Library no longer erases it on the spot. The file moves to the trash, shown as the Deleted view, where it stays for 30 days and can be restored with one click. Separately, the Platform notices files that aren't shown on any screen or playlist and, after a delay you choose, lists them in the notification bell so you can tidy up. Nothing is ever deleted automatically except files that have already sat in the trash for 30 days.

Deleting a file

From the file's detail view or with Select and Delete:

• The confirmation reads "Delete media. Are you sure you want to delete N file(s)? Deleted files are kept for 30 days and can be restored; after that they are removed permanently."
• The file disappears from every folder and library view and appears in Deleted.
• It still counts toward your storage until it's purged or deleted forever.
• Any User with access to the folder can delete, restore, and permanently delete files.

Deleting a file that's still on a screen

If the file is used by a slide, a second dialog titled Media in use (FI: Media käytössä) appears:

• It lists the affected screens and warns: "The files will be removed from all slides where they are used, then moved to Deleted."
• Click Delete anyway (FI: Poista silti) to go ahead, or Cancel to keep the file and replace the slide first.
• The slides lose the file immediately in the editor. Publish each affected screen so the device stops showing it too.
• Tip: open the file first and check In use on, then use the links to replace the slide where it's used before deleting.

The Deleted view

Open it with the Deleted (FI: Poistetut) button in the Media Library header, next to New folder and Upload:

• Each file shows "N days until permanent deletion". The chip turns red in the last 7 days.
• Restore (FI: Palauta) puts the file back in its original folders. It isn't put back on any slide.
• Delete forever (FI: Poista pysyvästi) removes the file immediately and frees its storage. The confirmation says "Permanently delete ... This cannot be undone."
• After 30 days a file is purged automatically, in the early hours of the morning, and its storage is freed.
• When the trash is empty the view says "The trash is empty" (FI: Roskakori on tyhjä).

Unused media

Once a night the Platform checks which files are shown on a screen or playlist, including files in unpublished drafts. A file that isn't referenced anywhere is marked unused:

• In the library the file gets an Unused (FI: Käyttämätön) chip, and its detail view shows Not in use with the date.
• Use the Usage filter (FI: Käyttö) to list only unused files.
• The notification bell shows "N unused file(s) to review" once a file has been unused for longer than your review delay. Clicking it opens the library with the Unused filter applied.
• Nothing happens to unused files by itself. Deleting them is always your decision.
• Files get their unused stamp from the first nightly check that notices them, so an old backlog appears all at once the first time.

Setting the review delay

Admins choose how long a file must be unused before the bell mentions it:

• Open Company settings (FI: Yritys asetukset) and find the Media card.
• Set Unused media review delay (FI: Käyttämättömän median tarkistusviive) in days, from 0 to 365. The default is 7.
• 0 means flag immediately. The value is saved as soon as you leave the field.
• The delay only affects the bell. Files are marked unused in the library regardless.

Freeing storage

If you see "No space in storage":

• Open Deleted and click Delete forever on files you don't need, or wait for the 30-day purge.
• Filter the library by Usage: Unused and delete what's no longer needed.
• Storage is freed at permanent deletion, not when a file is moved to the trash.

Summary

Delete moves a file to the trash for 30 days; Restore brings it back and Delete forever removes it now. Files still on a screen are removed from those slides when you confirm, so publish the screens afterwards. Unused files are flagged, never deleted, and the bell reminds you after the review delay you set.
