Deactivating and removing users

Cut a person's access temporarily with Deactivate, bring it back with Activate, or remove them from the organization for good.

Introduction

When someone leaves, goes on long leave, or a contractor's project ends, an Admin can deactivate their access without deleting anything, and reactivate it later with one click. Removing a person from the organization is the permanent alternative. Both live in the Admin actions section of the Edit user dialog.

Deactivating a user

From User management:

  • Click the pencil on the person's row to open Edit user.
  • Scroll to Admin actions (FI: Ylläpitotoiminnot) and click Deactivate user (FI: Poista käyttäjä käytöstä).
  • Confirm: "The user will lose access to all organization resources but can be reactivated later."
  • Access ends within seconds, even if the person is signed in at that moment. They don't need to sign out.
  • Their row in the users list is shown faded. Their content, permissions, and settings are kept.

What the deactivated person sees

Instead of the dashboard, they get a full-screen notice:

  • "Your access to this organization has been deactivated. An administrator of the organization can reactivate it. You can switch to another organization or sign out."
  • If they belong to other organizations, a Switch to ... button appears for each one where their access is still active.
  • A deactivated Admin loses their management rights too, until reactivated.

Reactivating

Same place, reverse action:

  • Open Edit user and click Activate user (FI: Aktivoi käyttäjä).
  • There is no confirmation; access returns immediately with the same role and permissions as before.

Removing a user from the organization

For people who won't be back:

  • Open Edit user and click Remove user from organisation (FI: Poista käyttäjä organisaatiosta).
  • Type delete to confirm. The dialog warns: "This action cannot be undone. The user will lose access to all organization resources."
  • The person is removed from every screen, group, and folder permission in this organization. Content they created stays.
  • If they should come back later, invite them again as a new user.

Summary

Deactivate is reversible and immediate; Remove is permanent and needs a typed confirmation. Both are Admin actions in the Edit user dialog.
